- Alum runner will be 100% responsible for coordinating the water support during two weekends during the main training season (June through October).
- When requested by the coordinators, alum runner must add his/her name to the shared training plan spreadsheet to reserve two water support dates between June 1st and end of the training season. Each alum must pick at least one 'high mileage' weekend (15 miles or longer).
- Alum runner will arrange substitutes or swap duties in case he/she cannot fulfill his/her duty on a specific week. Substitutions or swaps must be fulfilled within a 6-week window.
- Alum runners and all volunteers can get reimbursed for the Gatorade/water/snacks purchased for the water support. Receipts must be promptly emailed to info at teamaidasha.org . Reimbursements are processed at the end of the season.
- If alum runner does not fulfill his/her responsibilities during the season, alum runner will have to raise the full amount just like the new runners
Logistics for alum water support coordination

- Unattended water stops: Start 1 hour before the group run start time and drop off Gatorade/water at all water stops. Supplies must be in a clearly labeled grocery bag or cooler. You can download and print the TeamAIDAsha full page poster from here. Alum runner is responsible for picking up all the remaining materials and trash after the run. Alum runner can request help from other runners/friends/family for carpool if needed.
- Attended water stops: Make sure that one of the TeamAIDAsha volunteers, your friend or family member(s) is already signed up for each of the the water stop needed for your assigned week. Make sure that all the volunteers are familiar with the responsibilities listed here.
- Mixed mode: Some of the water stops are attended by volunteers while others are unattended.
Alum setting up attended water stops
- 2 weeks before the target date, alum must contact other TAA volunteers (people listed in the volunteer tab), friends or family to make sure that you have enough people lined up for all the water stops, including the finish line stop. Alum must make sure that all assigned volunteers are familiar with the responsibilities listed here.
- Alum must make sure to enter the specific volunteer name and contact information (including cell #) for the assigned water stop in the spreadsheet.
- All routes and water stops are planned weeks/months in advance. There is some probability for last minute changes by the coach, in case of special circumstances (extreme weather, training changes, etc).
- On the week of alum assigned water support: (Monday/Tuesday: alum must confirm the water stops in the spreadsheet, remind the volunteers about their assigned spots and times. Wednesday: Make sure all volunteers are confirmed. Find substitutes if needed. Thursday: Send out the email to runners email list with the details of water stops and the volunteer names/cell contact info, including alum cell contact number. On the day of the water support, make sure that all the water stop volunteers are in the assigned spots with Gatorade and water for the duration as suggested in the training spreadsheet.
