Matching donations overview
Many employers support their employees in their personal philanthropic efforts by matching individual contributions to non-profit organizations like AID and Asha. Say, an employee donates $100 to a charity organization and their employer has a 1:1 matching gifts program, then employer would also contribute $100 to the same non-profit. Some employers may even match 1:2 or 1:3!!
Donors, please check with your employer's human resources or payroll department to see whether they offer a matching gift program that supports "Association for India's Development (AID)" and/or "Asha for Education". We have published a tentative list of employers here that have matched donations to AID and/or Asha in the past. Employer policies change frequently. Donors must double check with their employer to make sure that the matching is available for the specific organization (AID and/or Asha).
Special Note: : Some large organizations may have their own internal website for making charitable donations and the matching donations. In such cases, donor and runner should follow "Step A2" listed below. If donor's employer does not have a special internal website for making the donation, donor and runner should follow "Step A1" below.
Step A1: Matching donations using TeamAIDAsha donation page
0. Donor and/or runner has confirmed that the donor's employer will match the donation for AID and/or Asha.
1. Donor makes a donation on TeamAIDAsha runner page via credit card online. The donation is dynamically routed to the credit card page for AID or Asha depending on the totals collected so far.
2. Donor and runner will receive email receipts from TeamAIDAsha that will list the organization that the donation went to (either AID or Asha) and corporate matching address for that specific non-profit.
3. Note: If the non-profit that received the donation is not already an approved charity by the employer, donor must submit a formal request to the employer to approve the non-profit.
4. Donor submits a form within his/her employer ("matching company‟) that tells the company that she has made a donation. This could be a paper form or an online process, depends on the employer. Please make sure to use the information (address of the organization etc) in the donation acknowledgement email.
5. Once donor has submitted the matching form, runner should update the donation in his/her TAA account to reflect that you are expecting a matching from this company for an amount of $y etc. Runner should confirm with the donor that the form was submitted before updating your TAA account.
6. Employer will send an email or letter to the non-profit that received the donation. In some cases they may send it to the AID or Asha central offices because that is the address in the official company records. This is OK, but not ideal because it is harder to track them.
7. Non-profit treasurer will fill in the matching form confirming the donation and tax information about AID / Asha and send it back to the employer
8. Employer will review the form and send the matching check to AID or Asha. Note that steps 5 to 8 could take many months. So, please get started ASAP!!
Step A2: Matching donations using company's internal donation page
0. Donor and/or runner has confirmed that the donor's employer will match the donation for AID and/or Asha. Donor must pick one of the non-profits (AID or Asha) to make the donation. It does not matter which non-profit donor selects, he/she must tell the runner which one he/she selected.
1. Donor makes a donation on the employer's charitable donation website and initiates the request for matching donation following employer's policies.
2. Donor must inform the runner the selected non-profit, donation amount and the expected matching amount.
3. Runner should add the donation (as a 'check' donation) in his/her TAA account to reflect that you are expecting $x donation, the corresponding matching donation $y from this employer and include donor's name and contact details.
4. Matching company will send an email or letter to the non-profit that received the donation. In some cases they may send it to the AID or Asha central offices because that is the address in the official company records. This is OK, but not ideal because it is harder to track them.
5. Non-profit treasurer will fill in the matching form confirming the donation and tax information about AID / Asha and send it back to the matching company
6. Matching Company will review the form and send the matching check to AID or Asha. Note that steps 4 to 6 could take many months. So, please get started ASAP!!
Adding non-profit to employer's approved charity list
If donor made the donation on TeamAIDAsha donation page, the email receipt will have the complete details on which non-profit the donation was sent to (AID or Asha). If the employer does not already have AID or Asha listed as an approved charity, donor can easily add the new entry by following the admin process at the employer's office. It normally involves filling in a paper or online form with the AID or Asha admin information.

- Donor - The person making the donation
- Employer (or matching company) - The organization that employs the donor and matches the donation
- Runner - TeamAIDAsha runner who is getting credit for the donation
- Non-profit - Association for India's Development (AID) or Asha for Education (Asha), the two 501(c) 3 organizations receiving the donations.
- Automatic donation routing - TeamAIDAsha is a joint fundraising program for AID and Asha. Each individual donation from our donation web page goes to either AID or Asha depending on the latest total $ donations. The email receipt will clearly show which non-profit received the individual donation.
